Getting Started

What is formwhale?
formwhale is a form builder made specifically for churches, nonprofits, and community organizations. Create event RSVPs, volunteer signups, membership forms, donation receipts, and more — with signatures, file uploads, and conditional logic built in.
Do I need technical skills to use formwhale?
No. formwhale is designed for the everyday volunteer or church administrator. If you can fill out a form, you can build one. Most users have their first form live in under 10 minutes.
How do I get started?
Create a free account at app.formwhale.com. The free plan gives you 3 forms and 100 submissions per month — no credit card required.
Can I try formwhale before paying?
Yes. The free plan has no time limit — use it for as long as you need. When your organization grows or you need more forms, upgrade to Pro for $12/month.

Features

What kinds of forms can I build?
formwhale supports event RSVPs, volunteer signups, membership applications, donation receipts, prayer request forms, contact forms, surveys, feedback forms, and more. Any information your organization collects can be built into a form.
What field types does formwhale support?
The Pro plan includes all 18 field types: text, email, phone, number, date, time, dropdown, radio, checkbox, file upload, signature, long text, address, rating, scale, yes/no, hidden field, and calculated fields. The free plan covers the most common field types.
Does formwhale support e-signatures?
Yes. Signature fields are available on all plans, including the free plan. Respondents can sign directly in their browser — no separate app or plugin required.
Can I collect file uploads?
Yes. File upload fields are available on all plans. The free plan includes 50 MB of storage; the Pro plan is expanded, and the Business plan includes 50 GB.
Does formwhale support conditional logic?
Yes, on Pro and Business plans. Show or hide fields based on previous answers — for example, show a "dietary requirements" field only when someone selects "Yes, I'm attending."
Can I embed forms on my church website?
Yes. Every formwhale form can be embedded on any website using a simple copy-paste code snippet. Works with WordPress, Squarespace, Wix, or any custom site.
Does formwhale integrate with other tools?
Pro and Business plans include Zapier integration and webhooks, connecting formwhale to thousands of other apps — your CRM, Google Sheets, email system, and more.
Can respondents receive a confirmation email?
Yes. Email notifications go to both you (the form owner) and optionally to the respondent when they submit a form.
Can I export my form data?
Yes. All plans include CSV export so you can pull your data into Excel, Google Sheets, or any other tool.

AI Form Generation

Does formwhale have AI form generation?
Yes. All plans include AI form generation using a BYOK (Bring Your Own Key) model. You connect your own API key from Google Gemini, OpenAI, or Anthropic — then describe the form you need and AI builds it for you.
What does BYOK mean?
BYOK stands for "Bring Your Own Key." You sign up for a free API key from an AI provider (we recommend Google Gemini — it has a generous free tier) and paste it into formwhale. You pay the AI provider directly, often $0. We never add an AI surcharge to your plan.
How much does AI form generation cost?
With Google Gemini's free tier, AI form generation costs $0. OpenAI and Anthropic have low per-request costs, typically a fraction of a cent per form generated.
Is AI generation complicated to set up?
No. It takes about 2 minutes: create a free account with an AI provider, copy your API key, and paste it into formwhale settings. Our setup guide walks you through each step.

Pricing

How much does formwhale cost?
Free: $0/month — 3 forms, 100 submissions/month. Pro: $12/month — unlimited forms, unlimited submissions, all 18 field types, conditional logic, integrations. Business: $49/month — everything in Pro, plus 50 GB storage and team collaboration.
Do you charge per submission?
Never. Unlike some competitors, we do not charge per submission on any plan.
Are there hidden fees?
No. What you see on the pricing page is what you pay. AI generation uses your own API key, and you pay the AI provider directly — not us.
Do you offer discounts for churches and nonprofits?
formwhale was built specifically for churches, nonprofits, and community organizations. Contact us and we will work something out.
Can I cancel my Pro plan anytime?
Yes. Cancel anytime. Your plan downgrades to Free at the end of your billing period. Your forms and data are preserved.
What happens to my data if I cancel?
Your forms and submission data remain accessible on the Free plan (within Free plan limits). We do not delete your data when you downgrade.

Privacy and Data

Who owns my form data?
You do. formwhale never sells or shares your form submissions. Your respondents' data belongs to you and your organization.
Where is data stored?
Data is stored securely. For specific questions about data residency or compliance requirements, contact support.
Is formwhale GDPR compliant?
We handle data with care. For specific compliance questions related to your organization's context (GDPR, CCPA, HIPAA), contact our support team.
Can I delete respondent data?
Yes. You can delete individual submissions or all submissions from a form at any time from your dashboard.

How do I get help?

What is your support response time?
We aim to respond within 1 business day. Pro and Business users are prioritized.
