How file upload forms work in formwhale
1
Add a file upload field
Drag the File Upload field into your form builder. Set a label, mark it required if needed, and optionally restrict which file types are accepted.
2
Respondents upload directly
When filling your form, respondents click to select a file (or drag and drop). The file uploads securely in the background before they hit Submit.
3
Review files in your dashboard
Every submission shows the uploaded file alongside other field responses. Download individual files or export everything in a bulk download.
Files stored securely — per organisation
Isolated per organisation
Each organisation's files are stored in a separate directory. No cross-tenant access — your files are only visible to your team.
Access-controlled downloads
Uploaded files are never publicly accessible. Only authenticated members of your organisation can view or download submission files.
Scoped to the submission
Files are linked directly to the submission that uploaded them. Delete a submission and its files are removed. No orphaned data lingering in your account.
Works on every device
Respondents can upload files from mobile, tablet, or desktop. The upload interface adapts to the device — including camera capture on mobile.

What file types can respondents upload?
Any file type is accepted by default — PDFs, Word documents, images (JPG, PNG, HEIC), spreadsheets, and more. In the form builder you can restrict uploads to specific types if needed (e.g. images only, or PDFs only).
Is file upload available on the free plan?
Yes. File upload fields work on the Free plan. Free accounts include 50MB of total file storage across all forms. Pro accounts get 5GB. Storage is shared across all forms and submissions in your organisation.
Can respondents upload multiple files in one field?
Yes. The file upload field supports multiple file selection. Respondents can select several files at once or add files one by one. Pro accounts get higher multi-file limits.
How do I download uploaded files?
Open any submission in your dashboard and click the file attachment to download it. You can also bulk-export all submissions including files from the submissions list view.
Are uploaded files secure? Who can access them?
Files are stored per-organisation in isolated storage. Only authenticated members of your organisation can access uploaded files — they are never publicly accessible, even if someone knows the file name or URL.
What happens to files if I delete a submission?
Deleting a submission also deletes any files uploaded with it. Your storage quota is reclaimed immediately, keeping your account tidy without manual cleanup.
